Remodeling and renovating your home is always a big investment, for both your time and money, so it’s important to make sure you’re hiring reputable contractor and builder! At each step of the way, you’ll have different contractors, engineers, and builders required to do specialized jobs. Knowing what to expect before you begin your project will help you be better prepared for the full process. While some companies will bring their own contractors on site for you as part of their larger enterprise, you may be required to source your own as well. If you find yourself a little overwhelmed by the process, making a little list of things to check and ask your contractor can take away a lot of the pressure!

Today’s blog is focused on illuminating the things you should look for when vetting your contractors. Since Pinto Carpentry’s specialty is railings and stairs, we’ll be focusing on that specifically, but these are great overall questions to apply across the board in each niche contractor market. Make sure to look for these specific things and ask these questions for better communication with your contractors and builders, and less surprises along the way during the project.

How to Hire a Reputable Contractor: Vetting a carpentry contractor for railing and stair work
Look for an experienced stair building company that does this full time. While it’s great to hire local handypersons and fun to work with DIYers with passion for smaller projects, this is a vital element of your home and business. You should entrust your stair building to the most experienced contractors with a long history of installs. Don’t be shy to ask how long they’ve been working as a wood stair builder or stair contractor. They should not only have experienced carpenters and wood stair builders, but a knowledgeable office and sales staff as well.
Professional, experienced employees of the stair building company will be able to guide you to the proper project regulations, be familiar with industry terminology, and ensure you have a finished project that meets code regulations. Experienced stair contractors also know exactly where their stair building materials and supplies are coming from, and have cultivated reliable, sustainable relationships with their suppliers. They’ll also have appropriate licensing to work in the region. They should be familiar with up to date building codes and safety regulations in the areas they’re working in.
A general rule of thumb is to contact 3 to 4 contractors in your area and compare estimates and reputations. This will help you to select the best one that suits your budget and needs and ensure you’re getting someone experienced and knowledgable who delivers quality work.

Consider whether they’re a solo gig or if they have a team of staff – While both are viable and professional options, it stands to reason that the job will take much longer with one person at the helm, rather than a group of people splitting the labor evenly. Working with a team of stair contractors and handrail installers means the job will move along at a reasonable pace, ensuring less delays overall for your renovation or repair.
Thoroughly vet their reviews and online presence for positive interactions. You’re looking for a company with a shining reputation for both customer service and quality work! Check social media sites such as TikTok, Instagram, Pinterest, and Houzz. Look at their reviews on Facebook and Google; customer feedback and company interaction are key here – they should respond professionally, courtouesly, and with grace even to negative reviews. Look at their website, their social media, or request reference photos from past projects which will demonstrate a history of working on projects like yours. Check their portfolio of work on their website, if they have one, and see if they have completed any projects similar to yours recently or in the past.

Choose a company with multiple means of communication. While not every carpentry shop and stair contractor will have a woodshop open to the public, they should be easily reachable by phone, e-mail or other form of direct communication like social media messaging. Any reputable carpentry company will have a static location they work from, and multiple points of contact including a website. Your contractors should use professional means of communication such as a work phone number, dedicated work email, and managed social media channels. Make sure you ask how to reach them on an emergency basis if you’re not able to contact them immediately and an issue arises after normal business hours. They also may need you to make a quick decision to pivot if there’s any issues, so having a clear callback number or method is ideal. Having multiple means of communication between the two of you, including an easy-access phone number or texting number your contractor can reach in a pinch is key!
Always get clear, written communication of the project outline before work begins. Most companies will offer it up front, but if not, inquire about receiving adetailed estimate with descriptions of the type of stair or railing material, style names, projected costs, and delivery dates. Bear in mind that any changes or updates made after the initial estimate may affect your overall total, but they should be recorded in writing after the initial estimate, so that expectations are very clear and well-communicated and no one is faced with “surprise bills”. Feel free to kindly request multiple price points of materials, so that you can explore your options and select the best one for your aesthetics and budget purposes. Your contractor will also likely request you to send photographs of the current stairs or railings before any proposed site visits, so be ready with those in hand! Seeing photos beforehand helps them give you a more precise and realistic estimate for your custom wood stairs or indoor handrail with regards to labor and materials.

Remember to inquire up front if they offer finishing or staining services. When it comes to carpentry services, not all companies will offer finishing services. They may have references for fellow contractors they recommend, or they may subcontract this out at your request. If this is part of a larger renovation project, finishing services may be covered by the general contractor on site if part of a larger renovation project. Asking ahead of time will save you lots of time and aggravation in the long run.
Ask about policies and procedures for protecting other areas of your home from damage and dust, and what needs to be cleared out of the work area ahead of time. If you’ll be living or working on site during the project, this is even more important to ask up front! There are numerous dust-containment measures implemented during demolition and construction to help protect your belongings and living spaces. Your contractors will be able to explain their process and how they will keep the construction area cordoned off. It’s also helpful to know what belongings they recommend relocating before work begins so you can remove them from the construction zone. This ensures your property and belongings remain safe and sound!
Be proactive and ask the contractors and carpenters if there’s anything that concerns them about the project. While facing unknowns is a part of the process of construction, there’s a good chance your contractor has already identified potential concerns so they can be prepared ahead of time. They can help you identify any worst-case scenarios and discuss potential mitigation ideas and costs ahead of time, so you can budget properly and be prepared for any hiccups. Trust their judgement! People in specialty construction fields, especially ones like handrails and stairs, have seen their fair share of unusual scenarios on the job, so they’ll be better able to identify them if they’re cropping up again. Be flexible and ready with a contingency plan!

Once you’ve selected a contractor and have an estimate, make sure to inquire about a projected timeline and schedule. While delays and hiccups are almost always inevitable due to the nature of the beast, having an estimated schedule and projected deadline for your indoor handrail installation or staircase build will alleviate some of the pressure. Sometimes things may fall outside of everyone’s control, such as delays in material deliveries, backordered supplies, a previous job running over scheduled timelines, unexpected surprises on site (definitely common with older houses!), or needing to pivot design options due to availability. However, having an upfront schedule can also give you a great way to benchmark if things are falling behind or if accommodations need to be made. Stay in touch with your contractor so you can remain on the same page about any delays.
Ask about the type of documentation you’ll receive before, during, and after your project is completed. Certain paperwork may be required to be readily accessible for on-site inspectors or surprise town officials checking in. You will likely be given a list of things such as: contractors/subcontractors and their information, photos of the before site, a blueprint/schematic or rough sketch of the proposed stair or handrail details, license and permit information to display in the window of your home or office, delivery bills of materials sent to the site, etc. Confirming what is required to be kept on hand before the project, as well as what should be kept for your records after the fact, will alleviate the stress of tracking people down to get it when all is said and done.
